Promoters and Volunteers Needed for our Bluegrass Picnic

July 18th is the date of our Bluegrass Picnic, our biggest fund-raiser of the year.  And, at this current moment, our budget could use a real boost.

What You Can Do

The best thing you can do to help our Club is to attend this community event.

The second-best thing you can do is to invite a friend, colleague, neighbor, and/or family member to join you.  (Please share this flyer with others.)

The more people we can attract to our event, the more successful it will be.

If you cannot attend, you can still contribute.  We are looking for donated items for our silent auction.  Maybe you have an interesting/attractive item you can contribute, maybe a garden item or plant, or maybe you could donate a cooked yummy; let us know.  Beginning at 10:00, we will be taking in auction items on Friday morning the 17th and also the morning of the 18th.

Volunteers Needed – Let us know where you can help out.

Set up & Take down – At 10:00 a.m. on Friday the 17th we will be setting up outside tents, chairs, tables and umbrellas.  We now have a large tent that requires at least 6 volunteers to set it up.  We will also need volunteers to help us take down these items after the event closes at 4:00 p.m. on the 18th.

Auction Items – At 10:00 a.m. on Friday the 17th we will be taking-in silent auction donations.  More items will arrive on the morning of the 18th.  Each item needs to have a Bid Sheet completed that includes a description of the item along with a minimum bid amount.  We need 2 helpers to complete the Bid Sheets and arrange the items on tables.

When the auction closes at 3:45 on the 18th, we will need 2 helpers to collect funds and Bid Sheets, then tally the results.

Cobblers & Ice Cream – Again this year we will be asking for donations for cobblers by the slice.  Our cobbler-maker, Vicki Channer, has again volunteered to cook the cobblers, but may not be available to serve them on the 18th.  We need 1 volunteer to help serve cobblers and ice cream.

If you have any fresh or frozen berries you can spare, please contact Vicki 541-444-2011.

Fresh-Squeezed Lemon Aid Stand – We have the machinery needed to make fresh-squeezed lemon aid, but we don’t have Kaitlin Bacon around this summer to make it happen.  We need 1 volunteer to oversee the lemon aid stand.

Kid’s Zone Supervisor – Most of the time parents will be around to supervise their kids.  But it is always nice to have an adult around to make sure things don’t get too active.  We need 1 volunteer to oversee the Kid’s Zone and make play toys available.

Raffle Ticket Seller – We have our 50-50 Raffle Drawing each year. Tickets are $1 each or 6 for $5.  We need a person to periodically go through the crowd to sell tickets and collect money.  We need 1 volunteer for this task.

Back-up Volunteer Duties – Our picnic is a 4-hour event.  We would like to give all our volunteers a few breaks during the day.  If you plan to volunteer, maybe you can find a back-up helper to relieve you from time to time so you can enjoy the music and other activities.  We are asking for backup volunteers for various duties.  Let us know if you can help.

This is a COMMUNITY EVENT, and we need a community-wide effort.  Let us know how you can help.
